Introducing our new quarterly newsletter. Our aim is to provide you with current information on CCS, industry affairs and overall guidance for your children’s services administration needs.
Emergency Contacts – Are They Up to Date?
When was the last time you checked that emergency contact details are still current and nothing has changed?
It is best practice to do regular audits to check that contact’s phone numbers, addresses and authorisations are all still current and correct. Most third party software’s have reports that you can print to give to the account holders and confirm details are still up to date.
CDS TRAINING ROADSHOW IS COMING BACK IN 2025!

NEWS FROM THE DEPARTMENT – THE ENROLMENT PROCESS
Step 1: THE FAMILY MAKES A CCS CLAIM
Families need to lodge a CCS claim with Services Australia. It is recommended they do this before their child commences care at your service.
Step 2: THE PROVIDER AND THE FAMILY AGREE ON CARE ARRANGEMENTS
There are 4 types of care arrangements:
- Complying Written Arrangement (CWA)
- Relevant Arrangement (RA)
- Provider Eligible Arrangement (PEA)
- Arrangement With Organisation (OA)
Services need to keep a record of the agreed arrangement.
Step 3: THE PROVIDER SUBMITS AN ENROLMENT NOTICE
Once a care arrangement has been agreed upon, you must submit an enrolment notice in your third party software. You must do this within 7 days after the end of the week of when the agreement was made.
Step 4: THE FAMILY CONFIRMS THE ENROLMENT
Once the enrolment has been submitted, families will be prompted to confirm their enrolment via their MyGov account. Only once this has been done will any CCS entitlements show on the account.
WHEN SHOULD I CREATE A CCS ENROLMENT NOTICE FOR A NEW CHILD?
Services can create CCS enrolments for new children prior their first day of attendance.
Using your third party software or PEP system you can create a new CCS enrolment, keeping in mind that it MUST start on a Monday for CCS to apply successfully to all attendances.
Families at times may get confused why their CCS enrolment starts ahead of their bookings, however services can explain that the CCS enrolment is submitted prior to their Child’s first day so that CCS entitlements are active on their account and applying correctly to their bookings which allows them to only have to pay the gap fee.
Also making note that the CCS enrolment start date is not their booking start date.

DO YOU HAVE CHILDREN THAT ARE NOT RETURNING… HAVE YOU ENDED THEIR CCS ENROLMENT?
As we begin the new 2025 year, it is a good opportunity to end all CCS enrolments for children that left the service in 2024.
Doing so will ensure their attendances are finalised with CCS and any outstanding debts can be processed.
